Welcome to KimoKawaii's Convention Policies!

Please take a moment to review each policy below to help ensure everyone has an enjoyable experience.

KimoKawaii Convention Policies may be modified at any time for any reason.

  • All attendees are expected to be respectful to others at all times. Attendees must respect common sense rules for public behavior, personal interaction, common courtesy, and respect for private property.

    Harassment, bullying, offensive behavior, or stalking of any kind will not be tolerated.

    Bullying in any shape or form whether physical, verbal, or digital is prohibited.

    Confrontational and hostile behavior is not permitted so it is essential to treat each other with respect.

    While our event is friendly and welcoming, all physical contact (including hugs or touches) must be consensual.

    Do not touch anyone’s hair, body, costume, or props without their permission.

    Hateful or discriminatory language is prohibited.

    Do not follow or approach someone without their consent.

    If you feel uncomfortable or need assistance, please reach out to security or visit the information desk at pre-registration.

    KimoKawaii reserves the right to revoke, without refund, the ticket or badge of anyone not in compliance with this policy or any additional policies below.

    Let's ensure a respectful environment for everyone to enjoy the event!

  • By attending the KimoKawaii Anime Experience & Convention, you acknowledge that you may be photographed or filmed during the event. By purchasing admission, a vendor or artist space or a sponsorship, you consent to being recorded (audio, visual, or other means) for use in all media, now known or developed in the future, worldwide and in perpetuity. This includes professional photo opportunities.

    As an attendee, you grant permission to the KimoKawaii team to photograph, film, or record you, and agree that such images or footage may be used for promotional or archival purposes without compensation or further acknowledgment. This policy also applies to anyone who may have not purchased a ticket, such as and not limited to, a helper for a vendor or artist, someone who received a free admission or won a free admission. This consent to film policy, applies to everyone in attendance at KimoKawaii Anime Experience & Convention at the Lonestar Convention & Expo Center.

  • No functional props or weapons are allowed at KimoKawaii. Simulated or costume weapons are allowed as a part of your costume, subject to prior approval by security and compliance with the following: 

    All costume props and weapons must be inspected at the Costume Props Desk. 

    ● All costume props and weapons must conform to state and federal law.

    ● Projectile costume props and weapons must be rendered inoperable. 

    ● Functional (real) arrows must have their tips removed and be bundled and zip-tied to a quiver.

    ● Costume swords must be tied to your costume in such a way that they can’t be drawn.

    ● Costumes featuring stilts must be approved at the Costume Props Desk. At certain times, due to crowds and safety issues, people in oversized costumes may be asked to leave the Exhibit Hall. After your costume props have been checked, they will be tagged by security, and you will be given a wristband to wear to designate that your props have been checked. Security will escort you to the Costume Props Desk for inspection if your costume prop is not tagged. KimoKawaii reserves the right to change or modify any policy or rule at any time and without notice.

  • KimoKawaii has implemented additional safety precautions to ensure that everyone attending the event, including guests, staff, vendors, artists, and attendees, can enjoy a secure and enjoyable environment. We have placed sanitation stations at various convenient spots within the convention center, offering hand sanitizer for your use. While we welcome the use of masks, they are not mandatory. Your safety and comfort are our top priorities.

  • To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online. KimoKawaii Anime Experience & Convention uses encryption technology to safeguard your data in electronic communications. Any information you provide to KimoKawaii Anime Experience & Convention is kept on secure servers. kimokawaii.net uses reasonable administrative, technical, personnel, and physical measures (a) to safeguard data against loss, theft, unauthorized use, disclosure, or modification; and (b) to ensure the integrity of the data. To help us protect your privacy, you should maintain the secrecy of the logon ID and password you may have set up in connection with your participation in this Web site's service.

  • KimoKawaii Anime Experience & Convention is dedicated to providing a safe, inclusive environment. Harassment of any kind will not be tolerated. This policy applies to all attendees, guests, volunteers, security, and staff.

    What is Harassment?

    Harassment is any unwanted behavior that creates an intimidating, offensive, or hostile environment. If someone asks you to stop or leave them alone, you must do so immediately. Harassment is defined by the recipient’s experience, not your intent.

    Examples of Harassment Include but not limited to:

    • Offensive comments or jokes about appearance, race, gender, sexuality, or other personal characteristics.

    • Non-consensual flirting, catcalling, or sexual advances.

    • Stalking, blocking someone's path, or repeatedly contacting someone after being asked to stop.

    • Touching or photographing someone without permission.

    • Disruptive behavior (e.g., loud noises, heckling).

    • Exposing oneself or making sexual gestures.

    • Policing someone’s bathroom choice or gender expression.

     

    Cosplay and Photography:
    Cosplayers are people first. Always ask before touching or photographing someone in cosplay. Respect their boundaries.

    Noise and Disruptions:

    Please keep noise levels appropriate. Avoid using loud noisemakers or engaging in disruptive behavior, especially in hallways.

    Explicit Content and Dress Code:

    Costumes must cover areas typically concealed by a bathing suit. Flashing or mooning others will not be tolerated. Explicit content (clothing, signs, props) should not be visible. Artists selling explicit material must ensure it’s out of view and require photo ID before showing or selling such items.

    REPORTING HARASSMENT:

    If you experience or witness harassment, report it immediately. We take all reports seriously and there will be no retaliation for filing a report. Your comfort and safety are our priority. To report harassment, locate a team member at our registration desk(front of the convention, locate security, or you can contact us via e-mail at contact@kimokawaii.net. Our e-mail is monitored 24/7 and a team member will contact you back as soon as possible.

    CONSEQUENCES

    Any violations of our harassment policy will result in immediate penalties dependent upon the severity of the action. Such penalties include:

     

    • Verbal warnings. (You will only be warned once.)

    • Confiscation of your badge and ejection from the event, with no refunds.

    • Banning from any and all future events put on by Silverback Events.

    • Contacting law enforcement when appropriate.

  • Our Web sites may use "cookies" to process and store information relevant to your use of our Web sites and services. Cookies are identifiers that a Web site can send to your browser to keep on your computer to identify you and make your successive visits to the Website more efficient. Using cookies, we are able to track the Internet address of the domains from which users visit us. We analyze this data for internal purposes. You can set your browser to notify you when you are sent a cookie. This will give you the chance to decide whether or not to accept it.

  • No smoking is allowed inside the Convention Center at any time. 'No smoking' includes traditional cigarettes, pipes, cigars, plus E-cigarettes and any vaping product or device. This policy includes the Vendor Rooms, all the Programming Rooms, the Convention-sponsored parties, and all other after-hour events. You are welcome to step outside to smoke in designated smoking areas only. Please be considerate of others when you do. Please comply with this policy; noncompliance may result in being ejected from the convention without refund.

  • NO UNSOLICITED HANDOUT

    No handing out of anything—including flyers, stickers, cards, or any promotional items allowed in any area inside or outside the Lone Star Convention & Expo Center unless you are authorized to do so by KimoKawaii’s Organizer.

    NOUNSOLICITED OR UNDESIGNATED SALES

    No retail sales are permitted during KimoKawaii unless you have purchased a vendor booth, artist alley table, or have otherwise been permitted in writing and signed by KimoKawaii. This includes the Exhibit Hall, common areas such as lobbies, program rooms, and outside venues, such as the Lone Star Convention & Expo Center grounds, smoking areas and any venue featuring official KimoKawaii Events. Retail sales are strictly limited to the exhibitors in the Exhibit Hall. Furthermore, there is no solicitation of tips, fees, or donations for any reason, unless you have a booth, table, or official space allocated by KimoKawaii.No pirated material may be sold nor items that are unlicensed or intellectual property belonging to another individual or entity.

  • The Convention Center will not allow animals into the building, except for service animals.

  • OUR COMMITMENT TO PRIVACY

    Your privacy is important to the KimoKawaii Anime Experience & Convention. We have created this Privacy Policy in order to demonstrate our commitment to the privacy and protection of your information. To better protect your privacy we provide this notice explaining our online information practices and the choices you can make about the way your information is collected and used. To make this notice easy to find, we make it available on our every web page throughout kimokawaii.net

     

    THE INFORMATION WE COLLECT

    This notice applies to all information collected or submitted on the kimokawaii.net website. On some pages, you can submit resume information, make requests, and register to receive materials. The types of information collected at these pages may include: Company Name, Contact Person/Position, Street Address, Email Address, Phone Number (etc.)

     

    THE WAY WE USE INFORMATION

    KimoKawaii Anime Experience & Convention will not share information you provide with any outside parties. This notice applies to any and all information collected and/or submitted to the www.kimokawaii.net website. Information gathered is for the sole purpose of fulfilling your specific request.

    CHILDREN'S PRIVACY

    Protecting the privacy of the very young is especially important. For that reason, we never collect or maintain information at our website from those we actually know are under 13, and no part of our website is structured to attract anyone under 13.

  •  ALL bags are subject to search. Bag searches may be performed at various entry locations. Wanding and metal detectors may be used as well. Absolutely no weapons are allowed. Only active on-duty police officers may carry firearms within the Convention Center. All other persons are strictly prohibited regardless of license or status.

    ITEMS NOT ALLOWED:

    • No guns or firearms of any kind.

    • No knives or bladed weapons, including those made of hard materials like metal, wood, or fiberglass, even if sheathed.

    • Any item resembling a real weapon or firearm, even with an orange tip, is prohibited. If it could be mistaken for a real weapon by a police officer, it will not be allowed.

    • No items that have had combustion capabilities, including airsoft or BB guns, even if disabled.

    • No sharp objects with points or edges.

    • Outside food or beverages are not permitted.

    • No Alcohol beverages

  • This refund policy applies to all attendees, vendors, artists & sponsors. KimoKawaii Anime Experience & Convention will be open on June 7-8, 2025 no matter rain, snow, or shine. ALL SALES ARE FINAL. In the event of mandatory cancellation due to natural & unnatural disasters, civil unrest, and pandemics resulting in mandatory shutdowns which prevent the event from happening you will have a credit reserved for the rescheduled event.

    FOR ALL VENDORS/ARTISTS or anyone who purchased space to participate at KimoKawaii.

    Please note that any purchased space is non refundable and non transferable.
